Collaborate in Zoho Sheet when the organisation's plan includes it and several people need one current spreadsheet. Start from a controlled copy and agree which columns each person maintains.

01 Prepare a shared workbook
- Create or import the spreadsheet in the authorised WorkDrive location. Check the imported values, formulas, dates and number formats before inviting collaborators.
- Use Share to invite named people with appropriate view, comment or edit access.
- Separate input cells from calculations and explain the expected data format. Apply available protection to calculation areas where your workflow supports it.
- Ask a colleague to make a harmless sample entry and confirm that both users see the same saved result.
- Use comments for questions about individual values instead of overwriting a formula with a note.
02 Validate the working data
Check totals after importing or pasting new rows. Dates and decimal separators may be interpreted differently from the source file. Keep a small set of known results to compare after structural changes.
When providing a report, export the intended sheets and inspect the result. Online permissions do not automatically follow an exported spreadsheet or PDF, so deliver that copy only to the agreed recipients.
03 Avoid accidental publication
Sharing with collaborators and publishing a spreadsheet are separate choices. Use public publication only for information deliberately approved for public access. Verify the audience before copying a link into a website or broad mailing list.
04 Example: verify a shared hours worksheet
Create columns A to D named Task, Planned hours, Actual hours and Variance. In row 2, enter Content review with 4 planned hours and 5 actual hours. In row 3, enter Migration checks with 2 planned and 2 actual hours.
| Cell | Formula | Expected result |
|---|---|---|
| D2 | =C2-B2 |
1 |
| D3 | =C3-B3 |
0 |
| B4 | =SUM(B2:B3) |
6 |
| C4 | =SUM(C2:C3) |
7 |
Have a colleague change C3 to 3. Both users should see C4 update to 8 and D3 to 1. Protect calculation areas where your permissions and workflow support it, and let collaborators edit the intended inputs. This small known-result check detects a pasted text value or overwritten formula before the team relies on a larger report.
How should the team recover from a mistaken Zoho Sheet edit?
If data is overwritten, pause editing and open File > Version > View Version History before restoring. Record the approximate time and affected cells. A broad restore can remove other people's valid updates, so preserve the current workbook and recover the smallest relevant area where possible. Review the cause, such as unrestricted formula cells or an ambiguous input column, before inviting everyone to resume.
